The Role
As the Executive Assistant to the CEO at Lindy, you will provide comprehensive administrative support to the founder, own calendar management, lead company onboarding, and coordinate with external contractors and agencies. This role requires exceptional organization, proactive problem-solving, and the ability to thrive in an ambiguous dynamic startup culture.
We are an in-office company and this role will require in-office presence 5 days a week.
Who you are
- Manage and prioritize the founder’s calendar, appointments, and meeting logistics, ensuring optimal time allocation and preparation for all engagements
- Serve as the primary point of contact for scheduling, both internally and externally, and handle all communications regarding the founder’s availability
- Handle confidential information with the utmost discretion and professionalism
- Assist with travel arrangements, expense reporting, and ad hoc personal tasks as needed
- Maintain digital organizational systems (e.g., G-Suite, Notion, Slack) to streamline workflows and documentation
- World-class written communication skills

Key Responsibilities
- Process and triage email
- Keep the CEO advised of time-sensitive matters
- Help manage the CEO’s calendar in conjunction with his Lindy AI Agent, and help him audit his time
- Oversee the end-to-end onboarding process for new hires, including preparing materials, ordering equipment, and ensuring a smooth integration into the company
- Coordinate travel arrangements for CEO and potential candidates
- Partner with Recruiting to collaborate the CEO’s calendar and interviews
- Manage Accounts Payable with the support of the company accountants
- Managing software permissions (e.g. granting access to teammates)
- Go-to resource for employee needs as pertains to HR, Immigration and other day to day needs
- Additional tasks as needed
Requirements
- 3-5+ years of experience as an Executive Assistant, ideally in a startup or high-growth environment working for C-suite level executives
- Proven expertise in calendar management and executive support, with the ability to anticipate needs and proactively resolve scheduling conflicts
- Strong organizational skills and attention to detail; able to manage multiple priorities and deadlines in a fast-paced setting
- Experience managing onboarding processes and working with HR or operations teams
- High level of discretion, trustworthiness, and emotional intelligence
- Tech-savvy, with proficiency in G-Suite, Notion, Slack, and other productivity tools
- Flexible and adaptable, willing to work outside standard business hours as needed
- Ability to work in person 5 days a week from a San Francisco office

- Salary Range: $110K - $160K
